We understand that unforeseen circumstances may prevent you from participating in the Spheronix Hackathon 2026. This Cancellation Policy outlines the process and deadlines for requesting a cancellation.

1. Cancellation Deadlines

To be eligible for any potential refund or fee waiver, cancellation requests must be submitted at least 1 day (24 hours) prior to the official commencement of the hackathon. Cancellations made after this deadline will not be eligible for a refund.

2. How to Request a Cancellation

All cancellation requests must be formally submitted in writing. Please send an email to our support team containing the following details:

• Your Full Name and Participant ID
• Team Name (if applicable)
• Transaction ID and Payment Date
• Reason for cancellation

3. Team Cancellations

If you registered as part of a team and the entire team wishes to cancel, the Team Leader must submit a unified cancellation request. Partial team cancellations (where one member drops out but the team continues) do not qualify for partial refunds, as the registration fee is a flat rate per member committed at checkout.

4. Organizer-Initiated Cancellations

In the rare event that the organizers must cancel or significantly reschedule the hackathon, registered participants will be notified immediately. Under such circumstances, participants will be provided with an option to transfer their registration to a future date or receive a full refund, subject to processing timelines.
